Dental referral software: the four kinds and which one you need

"Dental referral software" covers four kinds of tool. Practice management modules record who referred a patient or where one was sent. Patient referral programs reward patients for bringing friends. Specialist referral trackers score the dentists who already send you cases. Referral prospecting tools, like Leadaura, find the general dentists near you who don't refer to you yet.

Four tools with one name

Vendors use the same words for very different products. Before you compare prices, decide which question you need answered:

  • Who referred this patient, and where did we send that one? A practice management (PMS) referral module.
  • How do we get patients to bring their friends? A patient referral program.
  • Which of our referring dentists are growing, and which are slipping? Specialist referral tracking software.
  • Which general dentists near us should be referring and aren't? Referral prospecting, which is what Leadaura does.

The sections below quote each kind of vendor's own pages, as we read them in November 2026.

Practice management referral modules

Your practice management system likely records referrals already. Dentrix Ascend's help page says "You can now mark procedures as 'Referred' in a patient's chart, progress notes, and treatment plan" and "You can also specify which specialist a patient has been referred to" (Dentrix Ascend). Dentrix Enterprise lets an office "track if a referral has been sent, contacted, followed-up on, or completed" and "run the Referred to Doctor Report, filtering it by referral status" (Dentrix Enterprise blog).

This is the cheapest place to start, since you already pay for it. It records referrals after they happen. Pointing you to offices that don't refer to you yet is not stated on the pages we read.

Patient referral programs

These are about patients, not dentists. ReferralHero's dental page is headlined "AI Referral Program Software for Dental Practices" and describes a flow where a patient shares a link and "Both parties unlock a reward, and you get a new patient!" (ReferralHero).

For a specialist, many new patients come through a general dentist, so a patient program is a side channel at most. If you run one, check your state dental board's rules on patient rewards first. Never extend a reward to a referring dentist; see the referral outreach rules.

Specialist referral tracking

This is the category most specialists mean. Three examples, in their own words:

  • Referral Lab calls itself "Purpose-built software for referral-driven dental specialists" (Referral Lab) and says it can "Score and tier every referring provider based on actual production, not gut feeling" (Referral Lab features). Its pricing page lists "$499.99/mo" for one location (Referral Lab pricing).
  • SendVyte says "Know which dentists are growing your practice, and which are slipping" and that it "spots the offices that are slowing down" (SendVyte). SendVyte Specialty is $499 a month on a "12-month agreement, paid monthly" with a "$499 one-time setup" (SendVyte pricing).
  • CaseLink offers "Dental referral management for GPs and specialists" to "Send cases, share records, and track every outcome". It is "Free for general dentists", and "The specialist plan is $299 per month, or $269 per month on yearly billing" (CaseLink).

All three work on referral relationships you already have: scoring them, spotting the ones that slow down, or moving cases between offices that work together. Finding general dentists who don't refer to you yet is not stated on the pages we read. For a closer look at one of them, see our Referral Lab alternative page.

Referral prospecting

Prospecting starts from the other end: the offices that don't send you anything yet. Enter your ZIP and a radius, and a Leadaura run finds every general dentist in range, reads each office's own website for the procedures your specialty does, and ranks offices by how likely they are to refer. Each office comes with the owner and office manager, and a checked work email and direct line when we find them, plus an opener for the first call, a map, a visit route and a CSV.

The data comes from public business listings, each office's own website, the national provider registry and public professional profiles (data sources). Leadaura does not track referrals, so it sits next to your PMS or tracker, not in place of it. Runs are for oral surgeons, periodontists, endodontists and other dental specialists, from $99 a run with no subscription (pricing).

Which one you need

  • You need to know who referred whom. Use your PMS referral fields and reports first.
  • Referrals from offices you know are slipping. A specialist referral tracker is built for that.
  • You want more referring offices. You need prospecting: a ranked list of the general dentists near you who send your procedures out. See how to get more referrals from general dentists.
  • You want patients to bring friends. A patient referral program, after you check your state's rules.

Many specialists end up with two: their PMS or a tracker for the referrals they already get, and a prospecting run when they want new offices. Preview your area free to see how many general dentists are in your radius.

Questions

What is dental referral software?

It is a name used for four kinds of tool: referral modules inside practice management systems, patient referral reward programs, specialist referral tracking software, and referral prospecting tools that find new referring offices.

Does my practice management software track referrals?

Many systems do. Dentrix Ascend lets an office mark procedures as referred and name the specialist, and Dentrix Enterprise has a referral status list and a Referred to Doctor report. Check your own system's help pages.

Is Leadaura referral tracking software?

No. Leadaura finds the general dentists near you who are likely to refer and don't yet, and names who to contact. Use your practice software or a referral tracker for referrals you already get.

What does specialist referral tracking software cost?

On the pages we read in November 2026, Referral Lab listed $499.99 a month for one location, SendVyte Specialty listed $499 a month on a 12-month agreement plus a $499 setup, and CaseLink listed $299 a month for specialists. Check each vendor for current prices.

Can I use referral software to reward dentists who refer to me?

No. Never give a dentist anything of value in exchange for referrals. Patient reward programs are for patients, and even those should be checked against your state dental board's rules.
