How to build a referring dentist list for your area
Start with free sources: the ADA's Find-a-Dentist, the NPI registry, your state dental board and Google Maps give you names and addresses by location. None of them tells you who sends your procedures out or who to ask for, so add each office's services, the owner and office manager, and a way to reach them, then rank the list.
Where to get the names
| Source | What you get | What it misses |
|---|---|---|
| ADA Find-a-Dentist | ADA member dentists who opted in, by address or ZIP, filterable by specialty | Non-members; contact people; what they refer out |
| NPI registry (NPPES) | Providers with an active NPI, searchable by taxonomy with city, state or ZIP; free | Emails; license status (an NPI doesn't prove it); referral fit |
| State dental board lookup | License status | Usually no practice details or contacts |
| Google Maps | Every practice with a listing, ratings and reviews | Owners, emails, what they do in-house |
| Bought dentist list | Names, mailing addresses, often emails | Referral fit; freshness varies by seller |
| Leadaura run | Every office in your radius, ranked by referral fit, with the owner, office manager, checked email and direct line | Offices with no web presence at all |
Turn names into a list you can work
- Draw your radius
10 to 20 miles is typical for a specialist. Dense cities need less; rural practices need more.
- Merge and de-duplicate
The same office shows up under different names and addresses across sources. Match on phone number and website.
- Add what they do in-house
Read each services page for your procedures. This is the column that decides who you call first.
- Add who to ask for
The owner dentist and the office manager, with a work email and a direct line where you can find one.
- Rank and assign
Sort by referral fit, then split the top of the list between visits and calls.
Free list or ranked list?
If you have a coordinator with time, the free sources plus a spreadsheet will get you there; budget a few minutes per office. If you'd rather start calling this week, a Leadaura run does the merge, the website reads, the contact search and the ranking for your whole radius, and skips the offices you already have next time.
Either way, refresh the list every few months. New practices open, associates move, and offices change what they keep in-house.
Questions
Is there a free list of dentists by ZIP code?
Yes. The NPI registry is a free directory you can search by taxonomy with city, state or ZIP, and the ADA's Find-a-Dentist lets you search member dentists by address or ZIP. Neither includes emails or what each office refers out.
Can I use a referring dentist list for email?
Yes, for honest business email about your practice. Identify yourself, include your practice's postal address, and stop emailing anyone who asks. See the referral outreach rules.
How big should my list be?
Every general dentist in your radius, ranked. Then work the top 10 to 25 first.
How much does a Leadaura run cost?
From $99 a run with no subscription, and the free preview shows the office count in your radius before you pay.
