How to build a referring physician list for your area
Start with free federal sources: the NPI Registry and CMS's Doctors and Clinicians data list physicians by specialty, address and group, and Google Maps shows every practice. None says who owns a practice, who handles referrals or whether it sends patients out, so add ownership, the right contact and a ranking.
Where to get the names
| Source | What you get | What it misses |
|---|---|---|
| NPI Registry (NPPES) | A free directory of active NPIs, individual (Type 1) or organization (Type 2), searchable by taxonomy with city, state or ZIP | It stops at the first 2,100 results; no ownership, emails or referral fit |
| CMS Doctors and Clinicians data / Care Compare | Medicare-enrolled clinicians with specialty, group practice name, address and a phone where available | Medicare-enrolled clinicians only; no email or ownership field |
| Google Maps | Every practice with a listing, ratings and reviews | Owners, emails, what each practice offers |
| Bought physician list | Names and addresses, often emails | Referral fit; freshness varies by seller |
| Leadaura run | Every practice in your radius ranked by referral fit, with ownership, the right contact, a checked email and a direct line | Practices with no web presence at all |
Turn names into a list you can work
- Draw your radius
10 to 20 miles is typical. Dense cities need less; rural practices need more.
- Merge and de-duplicate
The same practice shows up under several names and addresses. Match on phone number and website, and roll individual physicians up to their group.
- Add ownership
Read each practice's website for a health system name. Independent practices are the clearest prospects.
- Add what they already offer
A practice that already has your specialty on site may keep those patients. Note it before you plan a visit.
- Add who to ask for
The referral coordinator or practice manager, with a work email and a direct line where you can find one.
- Rank and assign
Sort by referral fit, then split the top of the list between visits and calls.
Free list or ranked list?
If you have a coordinator with time, the free sources plus a spreadsheet will get you there; budget a few minutes per practice. If you'd rather start visiting this week, a Leadaura run does the merge, the website reads, the contact search and the ranking for your whole radius, and skips practices you already have next time.
An NPI doesn't by itself confirm that a provider is licensed or credentialed, so treat registry data as a starting point and refresh your list every few months.
Questions
Is there a free list of physicians by ZIP code?
Yes. The NPI Registry is a free directory you can search by taxonomy with city, state or ZIP, and CMS publishes a free Doctors and Clinicians file of Medicare-enrolled clinicians. Neither includes emails or who owns each practice.
Why does the NPI Registry give me so few results?
It stops at the first 2,100 results for a search, so narrow your search by ZIP code or taxonomy and combine searches.
Can I use a referring physician list for email?
Yes, for honest business email about your practice. Identify yourself, include your practice's postal address, and honor opt-outs; the FTC says CAN-SPAM makes no exception for business-to-business email. See the referral outreach rules.
How much does a Leadaura run cost?
From $99 a run with no subscription, and the free preview shows the practice count in your radius before you pay.
